Appointment/Pre-Registration Scheduler

 
POSITION PURPOSE: As an integral member of the Reception Services Team, the Appointment/Pre-registration Scheduler provides a valuable service to our patients, physicians, and clinical staff by maintaining the office schedule according to assigned protocol.
 
POSITION REPORTS TO: The Appointment/Pre-registration Scheduler works within a team environment with staff and physicians and reports to the Director of Clinical Services.
 
RESPONSIBILITIES:
 
·        Supports and promotes the mission and strategic vision of the organization
·        Supports and promotes the Ideal Patient Experience and Brand Building Basics
·        Pre-registers new and established patients verifying all demographic and insurance information making corrections as needed.
·        Schedules all appointments requested by referring practitioners and patients.
·        Advises patients of clinic financial policies when scheduling appointments.
·        When appropriate, reminds patient/referring physician’s office of the need for an HMO referral when scheduling the appointment.
·        Inputs and manages physician and midlevel provider schedule templates according to protocol.
·        Notifies appropriate departments of any change in physician and midlevel provider schedule/add-on patients.
·        Schedules ancillary meetings and depositions as appropriate and manages the conference room schedule.
·        Attends team and staff meetings regularly
·        Coordinates and distributes monthly physician call schedules.
·        All other temporary and/or permanent duties as assigned by the Director of Clinical Services.
 
KNOWLEDGE/SKILLS REQUIRED TO BE SUCCESSFUL IN THIS POSITION:
 
·        Two years experience in customer service related field.
·        Prior experience in telephone/switchboard operation.
·        Experience with appointment scheduling on a computerized system.
·        Basic computer knowledge and keyboarding skills.
